Employers will have the choice of focusing on a Medical Administrators qualification or a GP Assistant depending on the needs and workforce skills base of their practice. Both will include a highly transferable set of skills built around the core elements of the Business Administration Diploma such as communication, organisational, decision-making, interpretation of information and IT skills. These two diplomas will then be contextualised to include specific areas within the primary care environment.

The Medical Administrator will include organisational and functional processes, medical terminology, practice documentation and interpretation of clinical correspondence, coding, signposting and liaison with the integrated care team.

The GP Assistant will include much of the administrative support above but also incorporate elements of clinical support.

Learning techniques
This qualification will include a wide range of teaching and learning techniques and styles including one-to-one teaching, group discussions and teaching, observations, practical assessments by registered clinicians, coaching, mentoring and shadowing, independent research and e-learning.

Entry Requirements

Prior experience of working within the primary care environment in an administrative or reception role would be an advantage.

Level 2 Maths and English will be required for the qualification End Point Assessment


This will include an initial assessment in the candidate’s place of work and allocation of sponsor.

GP Assistant Topics:

  1. Routine clinical tasks
  2. Preparation of patients to see GP including history of presenting problem
  3. Completion of basic(non-opinion) forms
  4. Liaising with various healthcare organisations, active signposting
  5. Arranging appointments, reviews and simple referrals
  6. Health promotion


Communication (particularly communicating in a medical environment), decision making, project management, planning and organisation

End Point Assessment

Candidates are supported and coached towards the End Point Assessment, gathering their portfolio of evidence and preparing their project. The EPA will comprise of:

  • A multiple choice and short answer knowledge test
  • Portfolio of learning & Portfolio -based interview
  • Project /Improvement Presentation

Depending on the employer, the candidate and the pace of work, the course will typically take 12-18 months to complete.

A PMA Tutor/Assessor will be assigned to work with you throughout the duration of the course and will support you through your journey. There are normally between 282-432 guided learning hours for the programme and these will be delivered through face-to-face learning with your Tutor, personal study and research, workplace observations (including clinical if appropriate) mentoring and shadowing.

The time commitment to achieve your City & Guilds Level 3 Diploma is in the region of 4 hours a week which includes the off the job element, this is flexible, and should you have more time available your PMA Tutor/Assessor will be able to adjust your pace of learning accordingly.
